Projects to expand, relocate or improve a facility include a great deal of detail, coordination, relationships and risks that need to be managed. IFS has trained Project Managers in processes and tools that specifically address the Owner's requirements. Each Project Manager follows a prescribed process using technology to provide state-of-the-art collaboration for planning, scheduling, budgeting, scope management, cost reporting, risk management and project coordination. Each tool supports the team members with the information needed for a successful project, including:

Scheduling: Projects are provided a comprehensive design and construction schedule, including milestones for equipment delivery, regulatory requirements and decision points.

Budgeting: Estimates start from the beginning of the project. These estimates take into account the Owner's available funds, and are adjusted at major milestones. The final Owner-approved budget is incorporated into an Anticipated Cost Report that tracks both committed and actual costs throughout the project.

Regulatory Management: IFS will work with regulatory agencies to obtain zoning and appearance approvals. Regulatory management requires coordination of the design team and evaluation of the decisions (and compromises) that are needed in the Owner's interests.

Database: IFS has developed and maintains several database programs to track project documents including insurance certificates, contracts, invoices, waivers, etc.

Technology: IFS hosts an FTP site to provide the members of the team a platform to download or review drawings, equipment specifications, schedules, minutes, etc. This information is available for the Owner's review, keeping them fully informed on the project.

Connectivity: IFS employees stay connected to team members and construction documents by way of our VPN network. This allows data entry and report preparation work to be done in the office and the information remains accessible to the Project Manager in the field.

Risk Management: IFS maintains programs to assist the owner and contractor in the preparation and documentation of any Interim Life Safety Measures (ILSM), Infection Control Requirements (ICRA), and/or other life safety measures required to protect the Owner's interests and meet regulatory requirements.

Furniture, Fixtures & Equipment (FF&E) Planning: IFS works with the Owner and other team members to develop an FF&E plan. A matrix is used to provide planning of items by room, budgeting, and procurement.

Move Matrix: IFS has developed a tool that serves to assist the Owner's departments in preparation for moving. Communication and Information Systems departments can use the same tool for equipment and number relocations.

Project Close-out & Commissioning: IFS has developed several tools to assure that the Owner has all the documentation, testing and training needed to smoothly transition to the operations of their new facility, assuring that all warranties, waivers, operating manuals, as-built drawings, etc. are turned over to the Owner.

Facility Management: IFS can assist the Owner in the preparation and set-up of maintenance programs to maintain the new facility to maximize performance.
